How to move emails to Focused in Outlook

How to move emails to Focused in Outlook

1. Manually Move Emails

  • Right-click the message in Other.

  • Choose Move to Focused.

Outlook will then ask if you want to:

    • Move only this message, or

    • Always move messages from this sender.

Select the second option to train Outlook.

2. Create an Inbox Rule

If Outlook doesn’t learn automatically, you can set up a rule:

  1. Go to Home > Rules > Manage Rules & Alerts.

  2. Click New Rule.

  3. Choose Move messages from someone to a folder.

  4. Set the condition (e.g., from a specific sender or subject).

  5. Choose Inbox as the folder, which ensures it will appear in Focused (rules apply before the Focused Inbox split).

3. Mark Important Contacts or Domains

  • Add important senders to your Contacts.

  • Emails from known contacts are more likely to be shown in Focused.

4. Turn Off “Other” (Optional)

If you don’t want Outlook filtering at all:

  • Go to View > Show Focused Inbox (toggle it off).

  • All mail will then show in one list.
